Word Can’t Print Due To a Problem with the Printer Setup

If you’re having trouble printing documents because of a problem with the printer setup, then this article is for you. We’ll show you how to troubleshoot and fix your printer setup so that your word processing program can print documents again. 

It’s frustrating when your word processing program can’t print a document because of an issue with the printer setup. It’s also important that you fix this problem as soon as possible to make sure that other people who use your computer don’t have trouble printing their documents, too. Here are some steps you can follow to troubleshoot and fix the printer setup so that your word processing program can print again.

Make sure you’re using the right printer driver

The first step when fixing your printer setup is to make sure that you’re using the correct printer driver. If there’s a problem with the driver, then it won’t work properly and your word processing application won’t be able to print either. To do this, click Start and then click Device Manager in Windows 10 or 8.1. In Windows 7 and Vista, click Start, type Device Manager in the search box, and then click Device Manager in the list of results.

Click the Print Queue link in the left pane. You see two or more printers listed here. Right-click your printer and then click Properties. Click the Advanced tab in the properties window that opens, and then click Settings in the Driver page that appears next. Click to select Never check for new driver software during this session if you don’t want to be prompted if a new version of your printer driver is available on your computer.

Otherwise, select this option to let Windows automatically check for driver updates on a regular basis if you’re okay with that happening regularly.

If the correct printer driver is already installed on your computer, then you can fix your printer setup by updating it. To do this, click Check for updates at the bottom of the Driver page in the Advanced tab of the Printer Properties window that opens. If there’s a new driver available, Windows automatically checks for and installs it.

However, if there’s no update available or you want to make sure that you’re using the latest version of your printer driver, then you need to install it manually.

Install the right printer driver

To install the correct printer driver manually, you need to locate it on your computer. When you’re done troubleshooting, you can also uninstall the incorrect driver, if it’s installed on your computer. The easiest way to do this is by using the Programs and Features window in Windows 10 and 8 or Control Panel in Windows 7 and Vista.

Click Start, type Programs and Features in the search box, and then click Programs and Features in the list of results. You see a list of apps on your computer that are installed. Locate the printer driver that’s causing problems on the Program tab of this window.

Right-click it and then click Uninstall. Follow any prompts that appear onscreen to uninstall it. When Windows asks if you want to restart your computer, click No.

Open the Printers folder on your computer. Right-click the correct printer driver and then click Install. You see a warning box that says Windows can’t verify the publisher of this driver software. Click Install this driver software anyway if you’re sure that it’s safe to install it. Follow any prompts that appear onscreen to install the new printer driver. When Windows asks if you want to restart your computer, click No.

If you’re having trouble printing documents because of an incorrect printer driver on your computer, then you should uninstall the incorrect driver and install the correct one. This is easier to do using the Programs and Features window than it is using Control Panel, but either way will work. 

Disable other applications from sending data to your printer

Some word processing programs won’t print because there’s another application that’s sending data to your printer. To fix your printer setup, you can disable the other application so that word processing program can print again.

Click Start and then click Device Manager in Windows 10 or 8.1. In Windows 7 and Vista, click Start, type Device Manager in the search box, and then click Device Manager in the list of results. Click the Printers & Scanners link in the left pane of the Device Manager window that opens. Double-click your printer to open its Properties window. In the Printers tab, click Ports in the right pane. Uncheck Allow this device to share or connect to other computer’s printers if you want to disable this feature for your printer. Click OK when you’re done.

Verify that your printer is properly configured in Windows 10

If the printer isn’t configured correctly, it won’t work properly. To fix your printer setup and verify that it’s working, follow these steps:

Click Start and then click Settings in the Start menu in Windows 10 or 8.1. Click Devices in the Settings window that opens. On the left, click Printers & scanners. On the right, click your printer. Click Remove device if you want to remove it from your computer and then follow any prompts that appear onscreen.

Click Add a printer to install your printer if it’s not already installed on your computer and then follow any prompts that appear onscreen to add it to Windows 10 or 8.1. If you have more than one printer, then you may see additional Printers & scanners links. Locate your printer and double-click it.

Click the Print test page link to print a test page from your printer. Click Add a printer if you’re unsure which one you need. Follow any prompts that appear onscreen to install your printer on your computer.

If you have other printers on your computer and you get error messages when trying to print documents using your Windows PC, then there may be another program that’s sending data to one of the printers on your computer. To fix your printer setup, disable printing via the other programs so that your printer will be allowed to print again.

To do this, follow these steps:

Click Start and then click Devices in the Start menu in Windows 10 or 8.1. On the left, click Printers in the Devices window that opens. On the right, click your printer. Click Remove device if you want to remove it from your computer and then follow any prompts that appear onscreen. Click Add a printer link to install your printer on your computer if it’s not already installed.

If you have more than one printer, then you may see additional Printers links. Locate your printer and double-click it. Click Remove device link to remove that printer from Windows 10 or 8.1. If you want to remove it from your computer, then follow any prompts that appear onscreen.
